Location: Syria – Idleb
Job purpose:
The Warehouse Assistant supports the efficient receipt, storage, handling, dispatch, and documentation of food, nutrition, medical, and other humanitarian commodities in WVI warehouses. The role assists in maintaining accurate stock records, proper warehouse organization, commodity traceability, and compliance with WVI, WFP, and donor requirements. The position contributes to safe warehouse operations by supporting inventory counts, stock movements, loading and unloading activities, and adherence to warehouse safety and quality standards.
Major Responsibilities:
1. Receiving and Inspection:
• Assist in receiving shipments from WFP and other suppliers.
• Verify quantities and condition of items against waybills, delivery notes, and other supporting documents.
• Assist in loading, unloading, counting, and stacking commodities.
• Report any damaged, missing, or expired items to the Warehouse/Logistics Officer.
• Support quality and quantity checks during receipt of commodities and pharmaceuticals.
• Assist in recording received items in stock records and approved inventory systems.
2. Inventory Management:
• Maintain bin cards and other stock tracking documents.
• Assist in regular physical inventory counts and stock reconciliations.
• Ensure correct labeling, and identification of commodities.
• Apply FIFO and FEFO principles in commodity handling.
• Monitor commodity condition and immediately report damages, losses, or near-expiry stock.
• Support data entry and updating of inventory records.
• Assist during spot checks and stock verification exercises.
3. Order Fulfilment:
• Prepare commodities for dispatch according to approved release documents.
• Pick, pack, weigh, and stage commodities for transportation.
• Assist in loading commodities onto vehicles.
• Verify dispatched quantities and documentation before shipment.
• Ensure proper stacking and securing of commodities during loading activities.
4. Warehouse Organization:
• Maintain cleanliness and orderliness of warehouse facilities.
• Ensure commodities are stacked according to warehouse standards.
• Keep aisles, exits, and emergency equipment accessible at all times.
• Support pest control, sanitation, and warehouse maintenance activities.
• Organize storage locations to facilitate efficient stock handling.
5. Reporting:
• Compile and submit regular stock reports.
• Document inventory movements and adjustments.
• Provide regular updates to the management on stock status and issues.
• Report near-expiry commodities and recommend corrective actions.
• Assists the Program and Logistics coordinator in pharmaceutical and commodity management trainings at the field levels.
• Investigate and report stock discrepancies, losses, damages, and expiries.
• Prepare Loss Reports when required.
• Implement preventive measures to minimize stock losses.
6. Safety and Maintenance:
• Follow WVI, WFP, and donor warehouse management procedures.
• Comply with occupational health and safety standards.
• Use warehouse equipment safely and properly.
• Report safety hazards, damaged equipment, and security concerns immediately.
• Support warehouse inspections, monitoring visits, and audits.
Knowledge/Qualifications for the Role
1. Required Professional Experience
• Minimum 3 years of progressively responsible experience in humanitarian logistics, warehouse management, supply chain management, or commodity management, preferably in WFP-funded projects.
2. Required Education, training, license, registration, and certification:
• Bachelor’s degree (Preferred in pharmacy or health studies)
3. Preferred Knowledge and Qualifications
• Experience managing food commodities under WFP-funded programs is preferred.
• Proven experience in warehouse management or a similar role.
• Familiarity with inventory management systems and best practices.
• Strong organizational and multitasking skills.
• Excellent communication and teamwork abilities.
• Ability to operate warehouse equipment (e.g., forklifts, pallet jacks).
• Advanced Computer skills, Word, Excel, Access, Outlook.
• Knowledge of local Customs and Tax regulations • Strong Analytical skills.
4. Travel and/or Work Environment Requirement
• Warehouse environment.
5. Physical Requirements:
• Physical ability to lift and move heavy items.
6. Language Requirements
• Arabic and English
